Scheduling Showtimes Manually
While your movies, special events, and programs are called " Shows" -- scheduled instances of your shows are called "Showtimes". Your showtimes can be in person (includes drive-ins), or online. The Scheduler is where you can go in the admin to create Showtimes.
Before being able to create showtimes on the Scheduler, you should have the following items entered first:
- Auditoriums (required)
- Ticket Types (required)
- Ticket Type Groups (optional)
How to Use the Scheduler
- In the Filmbot admin, go to the Scheduler.
- Use the calendar icon in the the upper right corner and select the day you want to schedule a showtime.
- You can zoom in and out of the day by using the magnifying glasses in the upper right corner.
- Double-click on the timeline, in the auditorium where you want to schedule a showtime. If this is an online showtime, make sure the auditorium you click on is specified as an online auditorium first. If you don't click precisely on the time, you can easily adjust the start time in the next step.
Note: the system will not allow you to schedule overlapping showtimes in the same auditorium. For online showtimes, you can get around this restriction by creating additional online auditoriums. - Once you double-click, a window will appear, check that the date and time are correct, and adjust if needed.
- Select the Show you are scheduling (in the Movie/Event dropdown).
- The running time should be populated by the running time entered in the Show details. Note: this running time only affects one thing -- the size of the showtime's block on the Scheduler. It will not affect the length of your online Q&As or be displayed on the website anywhere.
- Select a Ticket Type Group if you are using one for this showtime. If you set a default ticket type group in Settings > Festival Setup, then it should already be chosen for you.
- If a Ticket Type Group has been selected, then the ticket types associated with that group will be populated into the Ticket Types field. You can add or remove ticket types. If you're not using a Ticket Type Group, you can directly select individual Ticket Types instead.
- After you have created and saved a showtime on the Scheduler, you'll see it appear in yellow. Yellow means that it's created, but not opened for sale yet. It does not appear on your website when in this state.
- To open the showtime for sale and publish it on your site, click once on the showtime to select it. You can tell when a showtime is selected on the Scheduler if you can see the red [x] in the top right corner. Once you've selected your showtime, click on the ticket icon (Open/Close for Sale) in the upper left corner of the timeline:
Alternatively, you can select no showtimes before clicking the button, and choose a date range in the Open/Close dialog. Note: if you do not open your movies/events for sale they will note display on the Schedule page.
- In the Sale Status dropdown in the Open / Close Showtimes dialog, choose "Open" and click "Go".
- The showtimes you've opened should now turn green on the Scheduler. This means they are open for sale, and will appear on your website.
Showtime Color Legend
We use color coding to indicate the status of a showtime on the Scheduler:
- Yellow: closed for sale; showtime does not appear on your website.
- Green: open for sale, showtime appears on your website.
- Red diagonal stripes: some tickets have been sold (so be careful when making edits to this showtime, as there are outstanding ticket holders).
- Gray diagonal stripes: Showtime is designated as sold out. This can happen automatically, or you can force a showtime to display as sold out by checking the "Sold Out?" checkbox when editing the showtime on the Scheduler.
